Admin Assistant

•    Assistance to provide administrative support includes general clerical, receptionist, and project-based work.
•    Handles general admin duties such as data entry as well as filing and sorting of documents, to implement an outgoing document system in order.
•    Opens the office; greets visitors in a friendly manner; answers and redirects phone calls; manages mail, faxes, and shipments; sends and responds to emails; and manages printing and copying.
•    Oversees standard office equipment and supplies (such as printers, ink, toner, and paper) and reports any malfunctions to the appropriate person or department.
•    Prepares conference rooms for meetings and organises catering, as requested.
•    Establishes and maintains a record-keeping system for contacts, files, and employee directories.
•    Booking flights and arranging travel for company executives.
•    Tracks and replaces office supplies as necessary to avoid interruptions in standard front office procedures.
•    Assists in preparing and sending invoices, maintaining client databases, tracking accounts, and assisting with copying and distributing production orders and other internal documents.
•    Assists in monitoring office cleaning.
•    Any other duties as assigned by the HOD, supervisor, and management from time to time.
 
- Diploma in Business Studies or related.
 - 1 years min experience
 - HR Business Partnering experience is an added advantage
 - People skills – patience and empathy
 - Excellent interpersonal & commercial skills
